Follow these steps to ensure you are ready for recruitment! We recommend ensuring your site is ready at least 2 weeks before recruitment starts.
Learn MyVote- As a chapter admin, you must be versed in how to use MyVote. There are many options of how you can learn.
Review Chapter Settings - Settings remain the same year to year but we recommend reviewing these settings as a part of your setup process. Learn more about Chapter Settings here.
Set Up Rounds - Create and rearrange rounds, select the necessary round type, name the round, and select the number of events. Learn more about setting up Rounds here.
If your council uses CampusDirector for recruitment management, you will need to sync your first round with the first round in MyVote. You can find this at the bottom of the Rounds page.
Confirm your Voting Criteria - This step will not apply to every organization. If your organization allows you to select the categories you vote on or set vote limits for certain rounds, you can select and control those from Settings > Categories.
Arrange Fields - Fields are a way for you to bring recruitment registration data for each PNM into MyVote. Add and arrange fields as you want them to be listed on the PNM profile, and determine visibility. When CampusDirector is synced, fields cannot be added or removed. Learn more about Fields here.
Create Tags - Tags allow you to group PNMs based on commonalities and are customizable. Add and name tags, assign a color, and determine who the tag is usable by and visible to. Learn more about Tags here.
Add & Train Additional Admins - Technology Team users have access to all settings, individual votes and notes, and overall results. It's important they understand how to use MyVote to not accidentally delete important data. Assign them to complete one of the training options in Step 1.
Add Voting Members - You can invite all voting members in bulk by importing their information. Learn more about adding admins here.
Train Voting Members - Ensure each member has an account created, provide them with the MyVote Training Video for Voting Members, and practice voting using Training Mode. Learn more about Training Mode here.
Add PNMs - Add PNMs in bulk by uploading a spreadsheet with all available information. When CampusDirector is synced, PNMs will be available in MyVote as soon as your council allows. Learn more about adding PNMs here.
Add Additional PNM Data - Consider adding tags and assigning PNMs to groups. Learn More about Groups here.
Assign PNMs to Events - When CampusDirector is synced, events will be automatically assigned. If your Council uses ICS you will need to import events using the blue plus sign button in the bottom right of the screen. Learn more about Importing Events here.
Create and Communicate a Support Plan - We are here to help! Know your support options should a question or concern arise. Save the support phone number, and communicate these resources to all admin users.
